These Terms & Conditions apply to all catering services provided by Roam Catering.

By confirming a booking with us, you agree to these terms.

1. Bookings & Confirmation

A booking is confirmed only once:

• A written quotation has been accepted
• Any required deposit has been paid
  
  

We reserve the right to refuse bookings at our discretion.

2. Deposits & Payments

• Deposits may be required to secure event dates.
• Final balances must be paid prior to the event date unless otherwise agreed in writing.
• Late payments may incur additional charges.

For recurring corporate services, payment terms will be agreed in advance.

3. Cancellations

Cancellation terms may vary depending on event size and notice given.

Typical structure:

• 30+ days prior: Deposit non-refundable
• 14–30 days: 50% of booking value payable
• Less than 14 days: 100% payable
  
  

Specific terms will be outlined in your quotation.

4. Guest Numbers

Final guest numbers must be confirmed by the agreed deadline. Charges will be based on confirmed numbers.

5. Dietary Requirements

It is the client’s responsibility to provide accurate dietary information prior to the event.

While we take care in preparation, we cannot guarantee an entirely allergen-free environment.

6. Venue Access & Setup

Clients must ensure:

• Adequate access for catering vans
• Sufficient space for setup
• Power supply if required (where agreed)
  
  

We are not responsible for delays caused by restricted access or inadequate site preparation.

7. Compliance & Safety

All Roam Catering units:

• Hold appropriate food hygiene certification
• Are fully insured
• Can provide RAMS documentation upon request
  
  

We comply with relevant food safety legislation.

8. Force Majeure

We are not liable for failure to perform due to circumstances beyond our reasonable control, including but not limited to extreme weather, road closures, venue cancellations or government restrictions.

9. Liability

Our liability is limited to the total value of the booking.

We are not responsible for:

• Third-party venue issues
• Guest conduct
• Loss or damage outside our reasonable control
  
  

10. Branding & Promotional Use

Where agreed, we may brand catering vans for corporate activations. Use of client logos must be authorised in writing.

Unless otherwise agreed, we reserve the right to use event photography for promotional purposes.

11. Governing Law

These Terms & Conditions are governed by the laws of England and Wales.
